Privacy Policy

How Dental Elephant collects, uses, and protects information about dental practices, their staff, and visitors to this website.

Who we are

Dental Elephant is software built for dental practices. When we say "Dental Elephant," "we," "us," or "our" on this page, we mean the Dental Elephant service operated at dentalelephant.com. Our customers are dental practice owners who subscribe to the service; the practice owner is the account holder and is responsible for information they enter about their practice and staff.

Information we collect

Account information. When a dentist creates an account, we collect name, email address, practice name, and billing information necessary to process payment through our payment processor, Stripe. We do not store full credit card numbers on our servers.

Practice data entered by the account holder. The account holder may enter information about their practice operations into the dashboard, including schedules, patient names and appointment notes, staff names and phone numbers, supply inventory, production numbers, and similar practice-management data. This information is used solely to deliver the Dental Elephant service to that practice.

Audio recordings. When the scribe or huddle features are used, audio is captured from the account holder's device, transcribed, and summarized. Audio files and transcripts are stored in the practice's private account area.

Staff phone numbers. Phone numbers for the Commute Huddle SMS program are entered by the practice owner for their own employees, with their consent. See our SMS Consent & Messaging Terms for full details.

Website usage. Our web server logs standard request information (IP address, user agent, page requested, timestamp) for security and operational purposes. We do not use third-party advertising trackers.

How we use information

Mobile information & SMS data

No sale, no sharing for marketing. Mobile phone numbers collected for the Commute Huddle SMS program, and any other information collected as part of the SMS program (including consent records, opt-out status, and message delivery logs), are not sold, rented, or shared with any third party for their marketing or promotional purposes. Mobile information is not shared with affiliates or partners. This mobile information is used only to deliver the messages the practice owner has enrolled staff to receive, and to comply with carrier and regulatory requirements.

How long we keep information

Account and practice data is retained for as long as the account is active. When a practice cancels, we retain data for a short grace period in case of reactivation, after which practice-specific data is deleted from active systems. Backups are rotated on a standard schedule. You can request immediate deletion by emailing support@dentalelephant.com.

Security

We use encrypted connections (HTTPS) for all traffic to and from dentalelephant.com. Passwords are stored using industry-standard one-way hashes. Access to production data is limited to personnel who need it to operate the service. No internet-connected system is perfectly secure, but we take reasonable measures to protect the information entrusted to us.

Children

Dental Elephant is a business tool for dental practices and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. Material changes will be communicated to active account holders by email.
